e-Boekhouden.nl has an unusually mixed user base for a bookkeeping product. Alongside zzp'ers, eenmanszaken and MKB companies, its own site names webshops, holdings, accountants running many client files, and verenigingen and stichtingen. That last group is the reason this particular pairing exists. An association or foundation keeping its books in e-Boekhouden.nl has the same invoicing needs as a BV, and a noticeably harder time getting a payment service provider to complete onboarding.

The platform itself is generous with connections: 24 payment service providers, from Mollie and Adyen to Buckaroo, Pay.nl, Worldline and PayPal, plus MT940 import for anything not on the list. Every one of them is a company you apply to. They ask who the ultimate beneficial owners are, what the entity does, where the money comes from, and they reserve the right to say no or to hold a balance while they think about it. For a stichting collecting donations, a vereniging billing contributions, or a small holding with an unusual structure, that is where the process tends to stall.

BTCPay Server is a different kind of thing. It is open-source, MIT-licensed software rather than a company you sign up with, developed in the open and funded by grants and donations rather than by taking a cut of payments. There is no merchant application, no underwriting, no compliance review, and no fee: payments go from your payer's wallet to keys you hold, and BTCPay is the software that generates the addresses and watches for the payment. Nobody is in a position to freeze anything, because nobody is holding anything.

There is one honest catch, and it is the reason most organisations never get past reading about BTCPay Server: somebody has to run it. That means a Bitcoin node, kept patched, kept online, kept backed up. In a vereniging where the treasurer is a volunteer with a day job, or an MKB business with no server person, that requirement is where a good idea quietly dies. So we host it for you. PayInBTC.me runs a fully managed BTCPay Server as an add-on at 2,500 sats a month or 25,000 sats a year, roughly 2.50 euros a month, with the infrastructure, updates, monitoring and backups on us and the wallet keys entirely with you.

From there PayInBTC.me connects it to your administratie. You link e-Boekhouden.nl and your hosted BTCPay store once, and the invoices you choose carry a Bitcoin payment link next to your existing methods. The connection to e-Boekhouden.nl is read-only: we read the invoice amount, currency and factuurnummer to build the payment page, and we cannot post to your grootboek or touch your btw records.

Why e-Boekhouden.nl and BTCPay Server work for associations, foundations and holdings

Software does not ask what legal form you are

The 24 payment providers e-Boekhouden.nl connects to all have onboarding, and onboarding has opinions. A vereniging with a rotating board, a stichting whose income is donations, a holding whose only activity is holding: these are structures that make a compliance officer ask more questions, and sometimes decline. BTCPay Server has no view on any of it. There is no application to submit and nobody to be approved by. The only thing that has to be true is that you control a wallet and the software is running somewhere.

We run the server, and you keep the keys

Hosted BTCPay from PayInBTC.me is 2,500 sats a month or 25,000 sats a year, fully managed. What sits on our side is the plumbing: the Bitcoin node, the BTCPay instance, version updates, monitoring, backups and uptime. What stays on yours is everything that matters: you connect your own wallet or XPUB, BTCPay derives receiving addresses from it, and payments go straight to keys we have never seen and cannot reconstruct. Hosting the software is not the same as holding the money, and the distinction is the entire design. If we disappeared tomorrow, your Bitcoin would still be in your wallet.

Zero percent, because there is no processor to pay

BTCPay Server takes nothing from a payment. That is not a promotional rate, it is a consequence of the architecture: the software sits on your side of the transaction and there is no company in the middle with revenue to collect. What remains is the Bitcoin network fee, measured in cents over Lightning, PayInBTC.me's flat 1,500 sats per invoice or 2,500 sats a month, and the hosting add-on if you take it. For a stichting where every euro of a donation is meant to reach the cause, the difference between a fixed monthly figure and a card percentage is the whole argument.

Small international amounts stop being uneconomic

A member abroad paying a 40 euro contribution, or a supporter sending 100 euros from outside the EU, is currently a bad deal for everyone: an international transfer can take ten to thirty euros out of it, and a non-EEA card runs at 3.25% plus 25 cents through a provider like Mollie. Over Lightning the same payment costs cents and clears in seconds. It is the small cross-border amounts, the ones a treasurer currently discourages, where this changes the arithmetic most.

No lock-in, in either direction

Taking the hosted option is not a commitment to it. BTCPay Server is the same open-source software wherever it runs, so if your organisation later wants its own instance, you point PayInBTC.me at it and nothing on the e-Boekhouden.nl side changes: same read-only connection, same invoices, same wallet. Equally, an organisation already running BTCPay can connect that instance from the start and skip the add-on entirely. The hosting exists to remove an obstacle, not to become one.

How the integration works

With hosted BTCPay the setup is about five minutes end to end, because there is no server to build. If you run your own instance, the only difference is that you point us at it instead.

1

Add hosted BTCPay Server in PayInBTC.me

Switch on the hosted BTCPay add-on at 2,500 sats a month or 25,000 sats a year, and your store is provisioned for you: node, instance, updates, monitoring and backups all handled. Then connect the wallet payments should settle to, which for an organisation usually means a wallet whose keys sit with more than one board member. BTCPay derives a fresh address per payment from that wallet, so no key material is ever shared with us. Already running BTCPay yourself? Enter your own store details here instead and skip the add-on.
2

Connect e-Boekhouden.nl to PayInBTC.me

Sign in to PayInBTC.me, choose e-Boekhouden.nl, and authorise the connection to your administratie. If you keep several, for a holding or as an accountant with multiple client files, you select which one applies. The access is read-only and limited to invoice data: amount, currency, factuurnummer and relation name. We cannot post to your grootboek, change a factuur, or reach your btw records or bank couplings.
3

Choose which invoices carry the option

Decide which facturen show the Bitcoin payment link. Contribution invoices to members abroad are usually the first ones worth switching on, since they are where the current cost is worst.
4

Send facturen from e-Boekhouden.nl as usual

Nothing changes about your invoicing. Layout, numbering, periodieke facturen for annual contributions, herinneringen and btw settings all stay as they are, and the Bitcoin link travels with the invoice next to your iDEAL link, incasso or bank instructions. Members and clients who prefer their usual method carry on unchanged.
5

Get paid and get notified

Your payer opens the link, sees the invoice total converted to Bitcoin at that moment's rate, and pays by scanning a QR code from any wallet. BTCPay watches for the payment and it settles straight to your wallet, with no payout step and no balance held anywhere. PayInBTC.me emails you when it clears so the treasurer can mark the factuur as paid.

What an e-Boekhouden.nl organisation gets from this pairing

Self-custody without running anything

The usual trade is convenience against control: a processor is easy and holds your money, self-custody is yours and needs a server. Hosted BTCPay from PayInBTC.me removes that trade for 2,500 sats a month. We run the node and the software, you hold the keys, and no board member has to become a sysadmin.

No merchant application to pass

There is no company deciding whether your vereniging, stichting or holding is an acceptable customer, because BTCPay Server is software rather than a service provider. Nobody can decline you, and nobody can off-board you later after a policy change.

Nothing taken from the payment

BTCPay Server charges zero. Your costs are fixed and knowable in advance: PayInBTC.me's 1,500 sats per invoice or 2,500 sats a month, the hosting add-on if you take it, and the Bitcoin network fee. On a 40 euro contribution that is the difference between the money arriving and a fee eating a noticeable slice of it.

Funds nobody else is holding

Payments settle straight to a wallet your organisation controls. There is no processor balance waiting to be paid out, no minimum payout threshold, and no account that can be held while somebody reviews an unusual pattern of incoming donations.

Small cross-border payments that are worth accepting

International transfers and non-EEA cards make small foreign payments barely worth collecting. Over Lightning a 25 euro or 100 euro payment from another country costs cents and settles in seconds, which changes what you can reasonably ask a member abroad to do.

Your administratie stays exactly as it is

Bank couplings, scan-and-recognise, periodieke facturen, your accountant's access and your btw-aangifte all keep working. The connection is read-only, so nothing in the books can be altered by us, which is a useful thing to be able to tell a board or a kascommissie.

What it costs on a typical invoice

Take a 400 euro invoice, which covers a small MKB bill, an annual contribution, or a modest donation invoice from a stichting. The euro comparisons use Mollie's published rates, Mollie being one of the more common of the 24 providers e-Boekhouden.nl connects to. The last two rows separate running BTCPay yourself from having us host it.

Method Cost on a €400 invoice Notes
iDEAL or Wero, Dutch payer €0.32 A flat fee per transaction through Mollie, once you have been accepted as a merchant
Consumer card issued in the EEA About €7.45 1.80% plus €0.25 through Mollie; a commercial card would be 2.90% plus €0.25
Card issued outside the EEA About €13.25 3.25% plus €0.25 through Mollie, the usual case for a member or client outside Europe
Bitcoin, BTCPay Server you run yourself About €1.50 BTCPay Server takes nothing, being software rather than a processor. The cost is PayInBTC.me's flat 1,500 sats plus a Lightning network fee in cents, and your own server time
Bitcoin, BTCPay Server hosted by PayInBTC.me About €4.00 The same 1,500 sats per invoice plus the hosting add-on at 2,500 sats a month, roughly €2.50, which covers every invoice that month rather than being charged per payment

The numbers are not the whole story here, and pretending otherwise would miss the point. iDEAL at 32 cents beats everything on this table for a Dutch payer, and the card rows are the ones Bitcoin undercuts. But every row above the last two assumes a payment provider accepted your organisation as a merchant in the first place, which is precisely the step that stalls for verenigingen, stichtingen and unusual structures. BTCPay Server has no such step. Note also that the hosting line is monthly, not per payment: at four euros the first invoice looks close to the EEA card row, and by the fifth invoice that month the hosted route is the cheapest thing on the page apart from iDEAL. For an organisation that has been told no, or gave up halfway through an onboarding form, the relevant comparison is not 4 euros against 13.25. It is 4 euros against having no online payment option at all.

Who this fits

Treasurers of verenigingen and stichtingen

Associations and foundations that keep their books in e-Boekhouden.nl and have found payment provider onboarding slow, sceptical or simply unfinished. BTCPay involves no application, the hosted option means no volunteer has to maintain a server, and small contributions from members abroad stop being eaten by international transfer costs.

Organisations with nobody to run a server

The case where BTCPay usually gets abandoned. A managed instance at 2,500 sats a month closes that gap: the same open-source software, the same self-custody, none of the node maintenance. It is the difference between reading about self-custody and using it.

Holdings and small BVs with unusual structures

Entities whose activity, ownership or transaction pattern makes a compliance team ask a second round of questions. Software does not run a risk assessment, and there is no balance for anyone to hold while a review is open.

Accountants setting this up for client files

If you keep several e-Boekhouden.nl administraties, a hosted BTCPay store with a read-only connection per client is a predictable arrangement: a fixed monthly cost, no percentage to reconcile out of receipts, and no merchant relationship in each client's name to keep in good standing.

Getting started

You need an e-Boekhouden.nl administratie and a BTCPay Server store. For most organisations that means taking the hosted add-on and letting us run the server, which is the fastest route and the one that does not need anyone technical on your side.

  1. Create your PayInBTC.me account and add the hosted BTCPay Server add-on at 2,500 sats a month, or enter the details of your own BTCPay instance if you already run one.
  2. Connect the wallet payments should settle to, then authorise the read-only e-Boekhouden.nl connection and select the administratie you want to use.
  3. Switch the Bitcoin option on for the invoices you want it on, and send one small invoice as a live test before you use it on real contributions.

The first month is free, with three free invoices on pay-per-use, so you can put a real payment through the setup before deciding whether it stays. Full setup instructions are at docs.payinbtc.me.

Frequently Asked Questions

Does this change how I create invoices in e-Boekhouden.nl?

No. You build and send facturen exactly as you do now, including periodieke facturen for annual contributions, with the same layout, numbering and btw settings. PayInBTC.me adds a Bitcoin payment link to the invoices you choose, next to your existing payment methods. Our connection is read-only, so nothing in your administratie is written to by us.

Do I have to run BTCPay Server myself?

No. PayInBTC.me hosts BTCPay Server for you as an add-on at 2,500 sats a month or 25,000 sats a year, roughly 2.50 euros a month. We provision the instance, run the Bitcoin node behind it, apply updates, monitor it and take backups. You connect your own wallet and the payments settle there. This is the option most organisations should take, because the alternative is somebody in your vereniging or business keeping a node patched and online indefinitely.

If payinbtc.me hosts the server, do you control my Bitcoin?

No, and this is the part worth being precise about. Hosting the software is not the same as holding the money. You connect your own wallet or XPUB to the store, and BTCPay derives a fresh receiving address from it for each invoice. We never see your private keys or your seed, and we cannot spend, freeze or redirect anything. If our hosting stopped tomorrow, every Bitcoin you had received would still be in your wallet, and you could stand up your own BTCPay instance and carry on.

What does BTCPay Server charge?

Nothing. It takes no percentage and no per-transaction fee, because there is no processor in the flow collecting revenue from payments. Your costs are PayInBTC.me at 1,500 sats per invoice on pay-per-use, or 2,500 sats a month or 25,000 sats a year for unlimited invoices, plus the Bitcoin network fee, which is measured in cents over Lightning. The hosted BTCPay add-on, if you use it, is a further 2,500 sats a month or 25,000 sats a year.

Can I move to my own BTCPay instance later?

Yes, and nothing on the e-Boekhouden.nl side changes when you do. BTCPay Server is the same open-source software wherever it runs, so you stand up your own instance, point PayInBTC.me at it, and keep the same read-only administratie connection, the same invoices and the same wallet. The hosting is there to remove the barrier to starting, not to make leaving awkward.

Does my client pay over Lightning or on-chain?

BTCPay Server supports both, and the payment page offers what fits the amount. Smaller payments, including most membership contributions and donations, go over Lightning and settle within seconds for cents. Larger invoices go on-chain, where confirmation takes minutes and the fee depends on network conditions at the time. Your payer sees one page and one QR code either way.

Will e-Boekhouden.nl mark the factuur as paid automatically?

Not yet. Our access is read-only, so we cannot write a payment into the administratie. We email you when the Bitcoin clears and the treasurer marks the factuur as paid, the same handling as a transfer that arrived outside a bank koppeling. Automatic reconciliation is on our roadmap and we will describe it as available when it exists.

How does a vereniging or stichting account for Bitcoin it receives?

The invoice does not change: the total, the btw where applicable and the factuurnummer stay as e-Boekhouden.nl recorded them, because Bitcoin is only how a euro amount was settled. What needs a decision is how the Bitcoin you now hold is recorded and valued in the jaarrekening, and what your board wants to do about the price moving. Agree that with your accountant and put it in writing for the kascommissie before you start, rather than at the end of the year.
